Overview

Remote workers don't have a productivity problem. They have a tab problem. Task managers in one window, calendars in another, scheduling links in a third, each with its own login and notification stack. By 10am, they've context-switched a dozen times before doing real work.

We built Zenika.app to end that. One place to centralize everything you need. Moving fast with parallel research, design, and development, we shipped a beta as a responsive web application within six months.

We started with the hypothesis that scheduling was the most broken part of the workflow. Research showed us the real problem was fragmentation. After 18 interviews, 124 surveys, and 7 competitor audits, we understood that users were drowning in disconnected apps.

That insight redefined the product entirely.

I expanded the initial brand into a design system capable of supporting the both light and dark modes. Stakeholders required both, which added complexity for a small team on timeline.

Designing at startup speed

The process was fast and non-linear, requiring frequent alignment and short decision cycles. Before investing time in detailed interfaces, I created quick sketches to communicate the concept and validate the direction.

Once aligned, I translated these ideas into complete high-fidelity user flows and detailed documentation for development.

The Core Feature

The calendar became the center of Zenika.app, bringing together meetings, personal tasks, imported events, and user-defined time blocks. The challenge was to organize all this information without making the experience overwhelming, but still complete and customizable.

Supporting Features

Calendar Sync

Connection to Outlook, Apple, Google, and other calendars to view everything in one place, with the option to override data from external sources.

Events, Buffers & Tasks

Create events directly in the calendar, with support for time buffers and task integration.

Public Scheduling

A public page for bookings, with the ability to create multiple scheduling pages and share them via link.

The Outcome

Within six months we shipped a responsive web app, hit our beta-user target, and gathered validation with real users. My involvement ended shortly after. Zenika.app ultimately couldn't secure investment in a competitive market, and the venture shut down.

Key Learnings

Moving fast works better when priorities are clear

Semantic styles, reusable components, and clear Figma conventions let us iterate fast without creating debt.

Research can change the direction of a product

What started as a scheduling tool became a routine manager because we listened before over-investing.

Design decisions need to work for the whole team

Pushing back isn't always an option, finding the most efficient path within constraints is.
